School Office Administrator and Receptionist

Permanent, office based - Term time plus 3 weeks (38 weeks per year)
Monday to Friday, 7.30am to 3.30pm (40 hours per week)
Location: Kingston Upon Thames
Start date: ASAP!
Overview:
An exciting new opportunity to join a long-established independent school as their Office Administrator and Receptionist. This busy office-based role offers the opportunity to manage the school reception and take on a range of key administration responsibilities as well as providing day to day support to pupils, parents, and colleagues.
Daily duties:
- Manage the pupil absence inbox
- Ensure that staff complete the morning and afternoon registers
- Update "off games" register and bus registers as appropriate
- Provide an exemplary reception / front of house service
- Oversee staff signing in and out and oversee pupils signing in mobile phones
- Answer the telephone and take messages or direct calls onwards, answer emails in the reception inbox
- Liaise with parents by phone, email, mail and in person, resolve queries as appropriate
- Provide administration support to the Admissions Registrar, updating the MIS system
- Support the Admissions Registrar with the school's Open Day and other admissions events
- Support the Head of Lower School with administration as required
- In conjunction with the Heads PA, manage School Post, the school's parent communication system.
- Update pupil data, ensuring contact details are up to date
- Update year 8 leaver destinations on systems
- Ensure that the school's VLE (Firefly) is updated as appropriate
- Update and run reports, addresses, labels etc from the school's MIS as required
- Provide first aid support as required; the morning receptionist is the primary first aider until the first aid team arrive on site
Required:
- Strong experience in an admin role or equivalent
- Previous experience working in a customer facing role
- Previous experience working in an educational setting is desirable
- Proficiency in Microsoft packages
- Excellent communication skills
- Strong organisation skills
