Role Overview:

Due to continual growth, we are seeking to appoint a motivated individual to join our Road Sweeper and HydroVac hire team as a Hire Coordinator.

You will be the clients first point of contact and will control and manage incoming enquiries and orders via calls and emails then coordinate fleet operations accordingly to ensure the smooth function of equipment hires whilst providing excellent customer service.

Working in a busy and fast-paced hire desk, your primary function will be to plan orders and schedule our fleet in the most economical and efficient route possible to attend to customers orders. Your role is crucial for effective management of daily workloads and ensuring the efficient and timely delivery of our services to our customers is upheld.

The role also includes administrative duties including quotations, tenders and invoicing so our preferred candidate will have corresponding experience in related tasks and will possess strong administrative skills and an attention to detail.

Core Responsibilities:

  • Plan, coordinate, and schedule equipment hires to ensure delivery times are met.
  • Effectively manage incoming orders and enquiries via both email and phone.
  • Utilise existing hire systems to track and manage availability, orders, and returns.
  • Precise and detailed administration of all quotations, bookings, invoices, etc.
  • Assist in the scheduling of repairs and maintenance for the fleet.
  • Collaborate with the team to identify opportunities for efficiency improvements and customer satisfaction enhancements.
  • Collaborate with internal teams to ensure smooth coordination of resources between other departments.

Requirements

  • Ability to work effectively in a fast-paced environment and manage multiple tasks simultaneously.
  • Highly organised individual with excellent communication and interpersonal skills.
  • A passion to continually deliver excellent customer service.
  • Strong communication and interpersonal skills, both verbal and written.
  • Proficiency with the MS Office suite: experience with other management systems and software is advantageous.
  • Valid drivers license(as there are no public transport links to our location).
  • Previous experience in a similar role and an extent of geographical knowledge for central Scotland would be beneficial.
