We’re looking for an experienced Document Controller/Project Co-Ordinator/EA to support this dedicated team, splitting your time between working on site in York as well as in the Leeds office.

Our client is an innovative company specialising in Cost Management, Project Management and Project Controls, developing projects for various industries including the commercial, industrial, government, education, healthcare, aviation, energy and public sectors.

What will you be doing on a day to day basis?

Project Co-Ordination/EA:

  • Manage and process monthly invoices, credit notes etc. via template system (Ms Excel) and maintain fee register.
  • Proactively manage and maintain diaries.
  • Arrange the booking of meeting rooms, video / conference facilities, refreshments, restaurants, taxis etc.
  • Responding and dealing with external or internal telephone calls.
  • Occasional taking of minutes / records of meetings etc.
  • Maintaining an electronic filing system.
  • Organising events such as team meetings, socials, hospitality, business updates.
  • Assisting with on-boarding new staff and sub-consultants.
  • Taking a proactive approach to correspondence e.g. dealing with issues or drafting responses before being asked.
  • Proof reading work to ensure consistent accuracy and high standard.

Document Control:

  • Scheduling receipt of Contractors drawings and keeping a record of Drawings.
  • Contacting the Design Team when necessary to chase any missing information
  • Maintaining registers of Question and Answers monitoring responses and producing weekly reports on outstanding questions
  • Taking and preparing minutes from meetings and issuing action schedules to team
  • Preparing packages of documents for issue.
  • Entering all information into site register
  • Owns the business processes associated with document management. Sets document management standards and monitors performance against them, taking corrective action when required.

Skills:

  • You will have demonstrable experience in all aspects of Project Co-Ordination and Document Control in a project environment.
  • Advanced in Microsoft Office essential. Ms Excel is used predominantly
  • You will be a confident and experienced individual capable of advising and communicating with decision makers at senior levels.
  • You will be enthusiastic, confident and have a flexible approach to work. You will be customer focused and passionate about supplying the highest levels of service to the project team.
  • You should be able to demonstrate good organisational skills including the ability to prioritise work under pressure and drive completion within deadlines.
  • Excellent attention to detail, good numeracy skills and accurate typing skills
  • Strong numerical skills as well as written and verbal communication skills
  • Complete discretion in the handling of sensitive commercial information
  • Able to work autonomously as the role is deadline driven.
