Your new company
Working for a Higher Education Establishment in Leeds City centre to support the wider team with various administrative duties.
Your new role

  • Providing an effective administration service to support the team, including managing the mailbox, diary management, monitoring enquiries, raising purchase orders and using other finance systems, and completing the documentation needed to contract Interns and staff;
  • Liaising with HR and finance offices, where necessary;
  • Collation of documents, materials and electronic files, and maintaining electronic and paper files;
  • Supporting the team in collecting and producing information for reporting against targets;
  • Administration of events and meetings, both online and in person (when activities can happen in a physical space) including bookings, and purchase/rental for rooms and catering, organising materials, room set up and welcoming participants, and taking and producing minutes;
  • Post-meeting and event administration e.g. follow-up communications, collating monitoring data;
  • Supporting the team with monitoring and review of the impact of activities.
  • Keeping contacts information up to date.

What you'll need to succeed

  • Experience of working in an administrative role with the ability to prioritise and organise tasks and to manage your time effectively.
  • Experience of taking minutes and servicing meetings.
  • Ability to organise digital files and manage and present information accurately and effectively
  • Excellent IT skills (Word, Excel, Powerpoint, mail merge), experience of online communications tools e.g. Teams and Zoom and information management systems (in particular, the use of databases);
  • Ability to work on own initiative, with minimum supervision;
  • Accuracy and attention to detail.
