Role Overview:We are looking for a dynamic and highly organised Personal Assistant to provide comprehensive support to our executive leadership team. You will be responsible for managing complex schedules, organising meetings, arranging travel, and ensuring the smooth operation of daily administrative tasks. As the right hand to senior leadership, you will play a key role in facilitating effective communication and managing relationships across the business and external stakeholders.
Key Responsibilities:- Diary & Travel Management: Coordinate and manage detailed executive calendars, including arranging meetings, appointments, and international travel logistics.
- Meeting Coordination: Prepare agendas, coordinate meeting materials, and take minutes for key meetings. Handle room bookings and any technical or catering needs.
- Administrative Support: Oversee email correspondence, drafting responses where necessary, and manage communications between internal teams and external contacts.
- Document Preparation: Create reports, presentations, and other documents, ensuring high standards of professionalism and accuracy.
- Stakeholder Engagement: Act as the first point of contact for senior executives, building strong relationships with internal teams, clients, and external partners.
- Event Planning: Assist with the planning and execution of corporate events, conferences, and team meetings.
- Expense Management: Track and process executive expenses and invoices, ensuring timely submission and adherence to policies.
- Experience: Proven experience as a Personal Assistant or Executive Assistant supporting C-suite executives or senior leadership.
- Organisational Skills: Strong attention to detail, with the ability to manage multiple priorities and tight deadlines efficiently.
- Communication: Excellent verbal and written communication skills, with a professional demeanour when interacting with internal and external stakeholders.
- Technical Proficiency: Strong working knowledge of Microsoft Office (Word, Excel, PowerPoint, and Outlook).
- Problem-Solving: Ability to anticipate needs, solve problems proactively, and remain calm under pressure.
- Discretion: Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
