We are looking for a highly efficient and detail-oriented Board Assistant / Personal Assistant (PA) to provide comprehensive support to senior leadership in our Leeds office (LS15).

Description

Personal Assistant - Key Responsibilities:

  • Meeting Support: Prepare and distribute agendas, presentations, and relevant materials for board meetings and other leadership discussions.
  • Minute-Taking: Accurately record discussions and decisions during leadership meetings, ensuring follow-up tasks are tracked and communicated to the appropriate personnel.
  • Document Management: Create and maintain high-quality documents, reports, and presentations, while ensuring all records, databases, and filing systems are up-to-date.
  • Executive Support: Manage executive calendars, schedule and coordinate meetings, and facilitate smooth communication between leadership and various departments.
  • Research & Information Gathering: Conduct research to support executives in decision-making processes and prepare reports or briefs as needed.
  • Project Coordination: Assist with the planning and coordination of specialist projects and events, maintaining records of associated budgets and spend.
  • Process Improvement: Proactively identify opportunities to improve administrative processes and implement efficient practices across the organization.

Profile

Personal Assistant - Requirements:

  • Proven experience in a PA or Board Assistant role, with a strong background in minute-taking and executive support.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills, with the ability to engage effectively with stakeholders at all levels.
  • Strong organizational and multitasking abilities, capable of managing multiple deadlines in a fast-paced environment.
  • Critical thinking, problem-solving skills, and a proactive attitude toward process improvement.
  • High level of integrity and discretion when handling sensitive information.
