Tate are supporting in the recruitment for a full time Receptionist to start ASAP for an energy provider in Leeds. This will be working on an initial 6 month contract with the view to extend/go permanent.

The role will involve supporting Facilities Management (FM), Front of House and Reception. You will be responsible for audit processes, reception, organising maintenance tasks, ensuring effective customer service, dealing with stakeholders, dispute/conflict resolution, management of contractors and other third party service providers, production of FM related reports, assisting with desk/staff moves, car park management, administration and co-ordination of catering and hospitality services.

Main day to day duties will consist of:

  • Meeting and greeting colleagues and visitors in a polite and courteous manner
  • Addressing and sign-posting general enquiries
  • Ensuring internal/external visitors are properly inducted into the building
  • Receiving internal & external telephone calls and handle in a professional manner
  • Ensuring front of house areas are neat/tidy and maintained to a high standard at all times, taking corrective action where this is found not to be the case.
  • Creating & maintaining excel and word documents as required
  • Administration of car permits, unauthorised parking, car sharing reports and other ad-hoc duties associated with the operation of car parks
  • Maintaining bomb & Fire Marshall records, including ensuring all such records are accurate and up to date
  • Compile weekly and monthly reports required by Senior Management
  • Ability to address/deal with room booking enquiries/conflicts, work with/as part of FM Help Desk as required, including deal with video conferencing/surface hub bookings and general issue resolution
  • Ensure all telephone/email enquiries received are addressed in a polite/courteous manner, with queries resolved or successfully signed-posted as required
  • Maintaining site files/systems, such as statutory compliance/safety management system folders
  • Undertake other ad-hoc administration duties as directed i.e. maintaining recharge sheets, deal with/distribute all incoming mail etc, maintain PAC records and provide cover to the FM Help Desk.
  • Daily meeting room and equipment checks
  • Event/meeting room set ups
  • Replenishment of site consumables, First aid, printers, stationary, etc;
