Join our dynamic team as a Facilities Administrator and make a significant impact on our organisation! We are currently hiring for a temporary position based at our Castle Donington location. As a Facilities Administrator, you will play a vital role in supporting our Facilities function under the supervision of our Facilities Co-ordinator. If you are a detail-oriented and proactive individual with exceptional communication and customer service skills, we want to hear from you!

Responsibilities:

Receive, sort, and distribute incoming and outgoing mail.Purchase and issue stationery, ensuring adherence to purchase agreements and guidelines.Maintain noticeboards in an organised manner, ensuring that relevant information is circulated in a timely manner.Arrange and coordinate repairs and maintenance for our buildings and equipment.Resolve internal and external customer inquiries.Assist in the coordination, organisation, recording, and production of contractor, visitor, and tenant identity cards.Manage the day-to-day administration of access control systems.Arrange for corrective action and repair of CCTV and alarm systems, if necessary.Coordinate meeting room reservations.Maintain computer-based record systems within the Facilities department.Raise and process purchase orders and invoices.Coordinate IT and telephony requests with our suppliers.Contribute to the performance management/measurement of Facilities contracts.Exercise cost awareness and assist with budgetary control for specific areas of Facilities activities.Take charge and run the reception area, when required.Maintain a clear and detailed log of all Procurement Card transactions.Assist with the recording and ordering of operational keys, as needed.Participate in contract review meetings with contract account managers.Support the maintenance of the environmental ISO14001 standard.Assist in preparing and testing local emergency preparedness and supporting site emergency teams.Contribute to the administration of operational budgets and projects.Ensure adherence to internal controls and procedures.Provide short-term cover for the Facilities Co-ordinator.

Requirements:

A good general education with GCSE Grades A to C or equivalent.Proficiency in computer skills.Excellent customer service and communication skills, with a pleasant telephone manner.Attention to detail and ability to work independently with minimal supervision.Flexibility and willingness to occasionally travel to provide support at our other facilities offices.Knowledge of our company and systems (E5 / CROWN / CAD) would be advantageous.
