Administrator (HR & Recruitment)

Key Responsibilities:

  • Draft and issue employment contracts and official letters for new and current staff members.
  • Address candidate inquiries regarding job offers or rejections and provide constructive feedback.

  • Manage personnel records in both physical and digital formats.

  • Oversee onboarding tasks, including preparing holiday forms and directing new hire documentation to relevant departments.

  • Follow up on incomplete or missing paperwork.

  • Process and renew DBS applications.

  • Perform employment background checks for prospective hires.

  • Respond to reference requests for current and former employees.

  • Support the creation, updating, and analysis of HR reports on key metrics like employee absences and turnover rates.

  • Develop and distribute job advertisements internally and externally.

  • Manage job advertisement responses, shortlist candidates, schedule interviews, and send out recruitment communications.

  • Deliver timely and efficient administrative assistance to the HR team.

  • Handle confidential and sensitive information and queries with discretion.

  • Perform additional HR-related tasks, such as conducting telephone or in-person interviews, as needed.

Key Requirements:

  • Proven experience in general administrative tasks.
  • Proficiency in IT tools, including Microsoft Word, Excel, PowerPoint, Outlook, and online platforms.
  • Strong interpersonal abilities to effectively engage with internal and external stakeholders.
  • Exceptional organisational abilities and time management expertise.
  • Excellent written and verbal communication skills.
  • Keen attention to detail, adaptability under pressure, and a fast learner.
  • Capability to establish productive relationships with senior leaders and their teams.
  • Understands the importance of maintaining confidentiality and upholding integrity.
  • A collaborative team member who can also work independently when needed.
