We are excited to offer a fantastic opportunity for an Executive Assistant - Northern Ireland. This role will play a key part in the overall growth of the organisation along with helping to maintain their core ethos - keeping the customer at the heart of everything they do.The role requires a candidate who will provide an efficient and responsive administrative and organisational service to the Executive members and ensure a high level of service is maintained. The successful candidate must have previous secretarial and administrative experience within a fast-paced customer facing environment. You will be able to demonstrate the ability to effectively plan and organise your workload and demonstrate initiative to resolve issues quickly in an appropriate manner, with attention to detail and confidentiality being crucial.Key Accountabilities:• Extensive diary management and co-ordination for both on-site and off-site appointments and meetings across multiple time zones including managing conflicting deadlines and fast changing priorities• Preparing and collating information for meetings and taking minutes at various meetings as and when required• Handling correspondence to include incoming post and emails prioritising and responding as appropriate, bring information to the attention of the Director or senior management as necessary• Maintaining filing system and company records for the Director• Responsible for all travel arrangements and accommodation requirements in line with company T&E policy• Expenses submissions and approval for Senior Leaders• Act as main point of contact for internal and external queries• Establishing appropriate relationships and maintaining current relationships that will enhance and expand business opportunities• Other Ad hoc duties as required including managing invoices and raising PO's, management of team absence and attendance, team event planning and coordination and administrative supportRequirements:• At least 5 years' experience as an Executive Assistant to Exec / Director level is a must• Prior experience supporting CXO level and working within a matrix organisation is an advantage• Advanced Microsoft Office skills in particular Word, Excel and PowerPoint• Ability to work with sensitive information confidentially• Good relationship builder and proficient stakeholder manager• Have excellent communication and organisational skills• Able to work on own initiative as well as part of a team• Ability to manage a varied workload whilst having flexibility in changing demands whilst at work• Ability to perform under pressure• Resilient and reliable• Team player and an advocate of the Company values
