Technical Secretary - Liskeard

Permanent Position.

You will be an essential part of the team ensuring smooth running of the Construction department by giving the Construction Director and the entire Construction department complete secretarial support. You will be providing a variety of administrative services within the department as well as providing a key central point of contact within the Construction department as a whole.

 

Day to day:

  • Plan and organise the Construction Directors diary maximising use of their time, Ensuring they get everything done that they need to and they have enough time for each meeting and appointment.
  • Booking accommodation and planning travel as and when necessary
  • Answer all phone calls, coordinate mail and emails
  • Ensure that the production of typing, photocopying and emails are accurately presented in a professional style and in line with company guidelines
  • Produce PowerPoint presentations as and when necessary
  • Arrange meetings and seminars, ensuring as appropriate that participants have all relevant papers in advance
  • Take minutes at meetings when required, transcribe and distribute accordingly
  • Complete general secretarial duties for other members of the Construction department and support other Departments as needed.
  • At all times comply with company policies, procedures and instructions.
  • Manage and maintain an effective filing system by ensuring that filing is completed on a regular basis so everything is kept up to date
  • Follow the construction induction guidance to ensure that equipment/uniform/PPE are ready for all new starters and that their first week is well structured
  • Issue information as required to the rest of the Construction Department.
  • Monitor GDPR compliance
  • Maintain good working relationships with internal staff and external clients and customers
  • Create report packs as and when necessary
  • Contribute to improving the business, protecting and enhancing the reputation of the company, by putting forward new ideas and, when requested to do so, implementing change.

 

Requirements:

  • Able to communicate clearly and effectively within the office and on site
  • Good IT skills with Microsoft packages and others
  • Organised
  • Good secretarial or administrative experience
  • Able to support the Construction Director
  • Able to manage time effectively
