Job Role: Central Admin Co-ordinator

Location: Liverpool

Contract: Full time, permanent

The role will be responsible for the coordination and collation of all operational, tracking, monitoring registrations and claims required of all apprentices on programme and of candidates on commercial or alternative funding streams to ensure Knowledge, Skills and Behaviours (KSB) across the skills workshop and knowledge sessions are on track.

You will produce data and operational reports for use across the business.

Ensure timely registrations/ claims and EPA co-ordination.

You will be the point of contact for apprentice student support and employers. You will ensure that best practices are followed and work within GDPR, ESFA, Ofsted and Awarding Body requirements to support the best attainment for apprentices, employees and visitors.

Key areas of responsibility include:

  • Registration and claims of qualifications and EPA.
  • Support with information and reports for EQA / Quality visits.
  • Set up and register student information / data for induction and biometrics.
  • Produce registers and track and report on timekeeping and attendance.
  • Point of contact for student and employer support
  • Adhere to Compliance for GDPR, ESFA, Ofsted
  • Produce data and reports for use across the business.
  • Safeguarding of students

Role tasks:

  • Complete admin tasks in a timely, professional manner
  • Registrations/Claims registering apprentices / alternative funding / commercial with relevant awarding body and claiming certification.
  • Booking of online and written exams, including invigilation. (All standards)
  • Liaising with Quality Assurance & TTA, uploading certificates and documents to progress apprentices through gateway timely with the relevant EPAO site. Consulting with EPAO over assessment dates, agree availability, informing relevant parties.
  • Provide purchase order numbers
  • Input data, maintain student records and produce data tracking matrix to collate evidence of apprentice attendance.
  • Record and monitor student timekeeping and attendance update PICS system
  • Collate and track attendance, produce and supply weekly attendance reports for all companies and quarterly overview update reports.
  • Produce reports to share progress/outcome/grades with SMT and data for EQA
  • Tracking KSB progress of Workshop skills, Classroom Knowledge, inc (Btec/HNC)
  • Update PICs, TEAMS, SharePoint, awarding body sites and any additional sites as required.
  • Student support - respond to student and employer enquiries via email, telephone or face to face.
  • Carry out any other duties as required.

Knowledge/Experience

  • Have relevant office experience
  • Experience of working in a busy admin environment
  • Experience using Microsoft packages (SharePoint, TEAMS folders)
  • Good telephone manner
  • Excellent communications skills verbal and written
  • Understanding of GDPR and KCSIE (Keeping children safe in education)

Qualifications:

  • GSCE Grade C or equivalent in Maths and English
  • Use of and experience in using Microsoft packages and other IT systems (use of PICS and Share Point and TEAMS system would be an advantage)
