Personal Assistant/ Receptionist

Location: Liverpool

In this role, you will be the first point of contact for our clients and visitors, providing essential administrative support and ensuring smooth office operations. Main Responsibilities:

Personal Assistant:

?The successful candidate role will be to create and maintain a well organised and structured environment inwhich directors can be highly effective.?

  • Optimise directors /teams time via skilled, proactivediary and logistical management.?
  • ?Represent Fletchers positively with external support teams (e.g. at owners, advisers etc.) and manage external meetings where appropriate
  • Ensure meetings and events arethoughtfully planned and designed to maximise efficiency of directorstime and to ensure they align to our business needs.?
  • Support the preparation of materials for key meetings, and attend management meetings and make notes, take minutes, or record actions, as appropriate
  • Assist the leadership team to thoughtfully respond tosignificant events in our colleagues lives.
  • Provide general administrative support to the leadership team

?Reception Support:

Support the 'Front of House Manager’ with maintaining effective Front of House Service Delivery across the FSG Estate.

  • General housekeeping and office maintenance - stock checking, restocking the kitchen throughout the day - cans, juice, tea, coffee, sugar, biscuits, kitchen rolls, hand wash, washing up liquid etc. Checking dates on milk, checking we have enough milk in the fridge, picking up extra when required.
  • Keeping the office clean and tidy throughout the day. Washing up, wiping down worktops and surface areas in the kitchen and break out area, straightening up worktop items and chairs.
  • Keeping the meeting rooms clean and tidy throughout the day. Checking they are stocked
  • Facilities support, deliveries - Checking, unpacking and putting them away. Making space in the office for stock items received. Updating the order spreadsheet to confirm goods received. Reporting any missing items to supplier,
  • Meeting Rooms Bookings-Setting up meeting rooms and clearing them after use. Organising lunches and laying them out.
  • Dealing with visitors to the office
  • Collect Post from Ground Floor Reception/ Distributing internal and external post/ organising parcel force

Essential Skills and Experience:

  • Strong administrative and organisational skills, ideally gained in PA/EA role
  • Excellent, effective communication and people skills with the ability to recognise and manage sensitive situations appropriately
  • Ability to work independently and to prioritise and manage a workload which requires supporting several executives with different needs at different times
  • Excellent Microsoft Office (specifically Word, Excel, PowerPoint and Outlook) skills
  • Ability to record and write accurate, concise minutes and notes of meetings
  • Demonstrable problem-solving skills
