Job Title: Accounts / Finance AssistantSalary: £38k We are seeking an Accounts / Finance Assistant to join our dynamic finance team. The role is integral to supporting day-to-day financial operations, ensuring compliance with financial regulations, and contributing to efficient financial reporting processes. This role will work closely with the finance team, Partners, and stakeholders to maintain accurate financial records, assist with budgeting, billing, and other key financial tasks.
Key Responsibilities:* SRA Accounts Compliance:o Support COFA and The Law Factory (TLF) in producing monthly 3-way bank reconciliation reports.o Assist in monthly meetings with COFA to review client ledgers and ensure compliance.* Time Tracking:o Support the Partners in managing the tracking of office member's hours in LEAP or equivalent systems, ensuring deadlines are met for weekly and monthly reporting.* Billing & Invoices:o Assist in drafting and finalising invoices for fee earners, including disbursements.o Provide backup support in billing authorisation for fee earners.* Aged Debtors & Debt Collection:o Responsible for monitoring aged debtors and assisting with debt collection efforts.o Provide support to the Corporate team for debt review and reporting.* Xero and LEAP Integration:o Assist TLF with updating Xero and reconciling balances with LEAP.o Organise and file invoices sent to TLF.* Bookkeeping & Management Accounts:o Assist with daily bookkeeping, including prepayments, accruals, and journal maintenance.o Support TLF in maintaining accurate monthly management accounts.* Budget Preparation:o Assist in preparing budgets for marketing, expenses, recruitment, travel, fees, and rent.* Performance Reporting:o Support the reporting and analysis of partner and fee-earner utilisation and performance data.o Assist in the preparation of weekly performance reports for the Managing Partner and stakeholders.* Cash Flow & Management Reporting:o Support in preparing yearly/weekly cash flow forecasts, budgets, and management reports.* Payments & Creditors:o Manage and set up payments to creditors and third-party vendors, including reconciling creditor accounts.o Assist with setting up payments and reconciling creditor accounts.* Audits & Compliance:o Support the yearly audits with external auditing accountants.o Ensure compliance with SRA Accounts Rules, including maintaining the Breaches Register and COFA Register.* Payroll Processing:o Assist in processing monthly payroll on Xero.* Bonus Scheme Administration:o Support the administration of the Productivity and Annual Discretionary Bonus Scheme.* Tax & Reserve Account Liaison:o Assist in liaising with accountants and stakeholders to manage tax and reserve accounts.* Statutory Submissions:o Support in handling all statutory tax, VAT, PAYE, and NI submissions (monthly and yearly).* Insurance & Claims:o Assist in negotiating Professional Indemnity (PI), Cyber, and Office insurance needs.o Report and administer any professional indemnity insurance claims.* Pension Fund Administration:o Support the administration of Nest pension fund, including new enrolments, payments, and queries.* Statutory Tax Reporting:o Assist in reporting on PAYE, P45, P11D, and P60 submissions.* Financial Reporting:o Provide support in preparing ad hoc financial analysis, forecasts, and projections for stakeholders.* Expense Management:o Support the review and approval process for expense reports and general expenses.* Supplier Management:o Manage supplier relationships, ensuring accurate invoicing and payment processes.* Bank Communications:o Handle ordinary communications with the bank, such as consultation, reporting, and assisting with account openings.* Recruitment Support:o Support and organise recruitment processes as needed.
Qualifications & Skills:* Strong attention to detail and organisational skills.* Experience with financial software such as Xero, LEAP, or similar.* Knowledge of SRA Accounts Rules and compliance requirements.* Ability to work collaboratively and support the finance team and stakeholders.* Excellent communication and interpersonal skills.* Ability to manage multiple tasks with a focus on accuracy and deadlines.* Experience with bookkeeping, invoicing, and financial reporting is a plus
