Our client is a progressive marketing agency in London. They are seeking a detail-oriented and organised Finance Assistant to join our team. The ideal candidate will be responsible for managing the Accounts Payable function, alongside general office management duties. This role requires a proactive individual with excellent communication and problem-solving skills, capable of handling a variety of tasks efficiently and accurately.

Responsibilities:

  • Accounts Payable:
    • Process and accurately record incoming invoices, ensuring proper coding and approvals.
    • Handle employee expense claims, verifying receipts and ensuring compliance with company policies.
    • Manage and process entries from Dext (or similar software) for efficient data capture.
    • Reconcile supplier statements and resolve any discrepancies.
    • Maintain accurate and up-to-date accounts payable records.
  • Asset Register:
    • Maintain and update the company's asset register, recording new acquisitions and disposals.
    • Conduct monthly reconciliations of Depreciation.
  • General Office Management:
    • Manage and order office supplies, ensuring adequate stock levels.
    • Handle office subscriptions and renewals.
    • Manage office insurance policies, ensuring timely renewals and accurate records.
    • Organisation of some staff travel & staff entertainment
    • Manage and work with IT support provider
    • General office administration duties as required.
  • Other:
    • Assist with month-end and year-end closing procedures.
    • Provide support to the finance team as needed.
    • Maintain confidentiality of financial information.

Qualifications and Skills:

  • Experience in an Accounts Payable or similar finance role.
  • Understanding of basic accounting principles.
  • Proficiency in using accounting software and MS Office Suite (Excel, Word, Outlook).
  • Experience with Dext (or similar expense management software) is highly desirable.
  • Excellent attention to detail and accuracy.
  • Strong organisational and time-management skills.
  • Ability to work independently and as part of a team.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality.
