Our client an award-winning creative communications agency based in London Bridge are recruiting for an experienced Accounts Payable Assistant to join their team on a hybrid basis (Tues, Wed & Thur in the office).
The ideal candidate will be responsible for managing the Accounts Payable function, alongside general office management duties. This role requires a proactive individual with excellent communication and problem-solving skills, capable of handling a variety of tasks efficiently and accurately.
Responsibilities:
- Accounts Payable:
o Process and accurately record incoming invoices, ensuring proper coding and approvals.
o Handle employee expense claims, verifying receipts and ensuring compliance with company policies.
o Manage and process entries from Dext (or similar software) for efficient data capture.
o Reconcile supplier statements and resolve any discrepancies.
o Maintain accurate and up-to-date accounts payable records.
- Asset Register:
o Maintain and update the company's asset register, recording new acquisitions and disposals.
o Conduct monthly reconciliations of Depreciation.
- General Office Management:
o Manage and order office supplies, ensuring adequate stock levels.
o Handle office subscriptions and renewals.
o Manage office insurance policies, ensuring timely renewals and accurate records.
o Organisation of some staff travel & staff entertainment
o Manage and work with IT support provider
o General office administration duties as required.
- Other:
o Assist with month-end and year-end closing procedures.
o Provide support to the finance team as needed.
o Maintain confidentiality of financial information.
Qualifications and Skills:
- Proven experience in an Accounts Payable or similar finance role.
- Understanding of basic accounting principles.
- Proficiency in using accounting software and MS Office Suite (Excel, Word, Outlook).
- Experience with Dext (or similar expense management software) is highly desirable.
- Previous exposure to Quickbooks
- Excellent attention to detail and accuracy.
- Strong organisational and time-management skills.
- Ability to work independently and as part of a team.
- Excellent communication and interpersonal skills.
- Ability to maintain confidentiality.
- Finance qualifications (AAT or similar) desired but not essential
