Administrative and Finance Assistant - Secondary School, North London

We are currently recruiting for a dedicated and organised Administrative and Finance Assistant to join our secondary school in North London. This is a term-time only position, working 36 hours per week, Monday to Friday. The role offers a salary of 29,230 FTE, pro-rated to 25,000 per annum.



Key Responsibilities:

Administrative Duties:

  • Provide administrative support to the Business Manager and the admin support team.
  • Distribute internal post and liaise with caretakers for parcel deliveries.
  • Handle franking of external post and liaise with the Finance Department to top up the Franking Account.
  • Make travel arrangements for staff and students as required.
  • Take payments from parents for trips and music lessons.
  • Support senior administrators with posting letters and other clerical duties as needed.
  • Assist with outgoing phone calls to parents.
  • Work on Microsoft packages, SIMS, and other school databases.

Finance Duties:

  • Manage purchase orders and deliveries, ensuring accurate record-keeping on the School's IT Finance System (NOVUS).
  • Provide administrative support for placing purchase orders.
  • Coordinate with the Finance Manager to implement systems that comply with NOVUS.
  • Manage petty cash for small purchases.
  • Input invoice and order information into the NOVUS system.
  • Contact suppliers to follow up on purchase orders and invoices.
  • Photocopy and upload signed invoices to NOVUS, maintaining excellent records of all transactions.


Key Requirements:

  • Experience in an administrative role, ideally within a school environment.
  • Competency in Microsoft Office, SIMS, and school databases.
  • Experience with finance systems such as NOVUS would be an advantage.
  • Excellent organisational skills and attention to detail.
  • Ability to work both independently and as part of a team.


Salary and Benefits:

  • 29,230 FTE pro-rated to 25,000 per annum.
  • 36 hours per week, term-time only (Monday to Friday).
