Job Overview for Lettings Accounts Assistant:
My client is looking for a proactive and detail-oriented Lettings Accounts Assistant to join their client accounts team. The successful candidate will be responsible for processing landlord service charge bills, managing utility bills, auditing contractor invoices, and supporting the wider team in the day-to-day running of property accounts. This role requires a methodical approach to administration and the ability to liaise with various stakeholders, including Block Managers, utility companies, and tenants.
Key Responsibilities as Lettings Accounts Assistant:
- Service Charge Bill Processing: Process and pay landlord service charge bills in an accurate and timely manner.
- Utility Bill Management: Process and pay communal heating, cooling, and hot water bills, liaising with utility companies to resolve any queries or issues.
- Contractor Invoice Auditing: Process contractor invoices and audit contractor statements to ensure accuracy.
- Chasing Rent Arrears: Chase outstanding rent payments and ensure rent arrears are minimized.
- Liaison with Block Managers: Work closely with Block Managers to discuss service charge invoices, demands, and arrears.
- Liaison with Utility Companies: Communicate with utility companies to discuss landlord and tenant bills (cooling, heating, and water), and ensure payments are chased and processed accordingly.
- Support to Client Accounts Team: Provide general administrative support to the client accounts team as needed.
- Data Management: Update and maintain accurate records on spreadsheets and CRM (Alto) system.
- Other Administrative Duties: Assist with any other administrative tasks required by the client accounts team.
Skills and Experience required for Lettings Accounts Assistant:
- Organised and Methodical: Strong organisational skills with the ability to manage multiple tasks and priorities efficiently.
- Estate Agency Administration (Preferred): Previous experience in property or estate agency administration is preferable. This could be as lettings accounts assistant, accounts assistant or other relevant experience within the property sector.
- Customer Service: Excellent phone manner with strong customer service skills, able to manage client relationships effectively.
- Attention to Detail: High level of accuracy and attention to detail in processing financial transactions and maintaining records.
- Proactive and Confident: A can-do attitude with the confidence to take ownership of tasks and issues.
- Technical Skills: Comfortable using CRM systems (experience with Alto is a plus) and proficient in Microsoft Excel or similar spreadsheet software.
