Permanent full-time role based in Notting Hill.

The Artists' Collecting Society (ACS) is a London-based not-for-profit Community Interest Company dedicated to the administration of artists and artists' estates intellectual property rights. We are looking for a highly organised and adaptable individual who has the skills and capacity to undertake a variety of financial administrative tasks. The candidate must be a positive individual who is flexible, takes initiative and possesses a 'can do' attitude. They must be able to work independently as well as collaboratively.

As Senior Bookkeeper you will work as part of ACS' small and dynamic team, based in Notting Hill (currently a hybrid working system), to administer our members' Artist's Resale Right and copyright. The role is suited to an individual with both strong organisational and communication skills. You will be able to juggle a number of administrative tasks in a fast-paced environment, and you will always aim for the highest standards of service.

You must have sharp attention to detail, and have excellent numeric and verbal skills, necessary to administer data, forge and maintain relationships with galleries and arts institutions. In addition, you will need to be proficient with IT and be comfortable managing routine administrative tasks, including inputting information on a variety of software such as a custom database. Experience in handling sensitive information with discretion will be paramount, as will a consistently professional approach.

Key Responsibilities:

  • Administer monthly Artist's Resale Royalty payments to artists and prepare monthly payment statements
  • Responsible for the accurate and timely completion of the month end processes including: bank account reconciliations, processing accruals and prepayments and analysing and agreeing nominal ledger accounts
  • Preparation of the monthly Profit & Loss accounts
  • Explain variances in a review meeting with Management
  • Salary information to payroll bureau
  • Some routine financial transaction processing such as raising credit notes using SAP accounting software both manually and through data upload methods
  • Assist colleagues with ad hoc duties
  • Preparation of draft annual financial statements and liaising with auditors
  • Financial performance evaluation
  • Balance sheet reconciliations
  • Liaising directly with art market professionals (auction houses, galleries and dealers etc.) to ensure relevant invoices are paid processed efficiently
  • Maintaining accurate company record filing systems
  • Cataloguing sales information and contact details on a custom database system, tracking correspondence as well as transactional data
  • Proactively contribute to the general running of the company, carrying out ad-hoc duties as requested including but not limited to maintaining filing systems while providing support to the Senior Manager and Managing Director as required
  • Acting as a point of contact for enquiries and correspondence relating to the company, overseeing an effective system for filtering, prioritising, actioning and tracking all points of contact with stakeholders, and liaising with colleagues across both ACS and our sister company, Bridgeman Images to draft responses as necessary
  • Ensuring that work is compliant with all legal and regulatory requirements, keeping up to date with any changes and operating in line with the codes of practice, sector best practice and industry standards (training provided)

Knowledge & ExperienceEssential

• 8 - 10 years bookkeeping experience• Excellent numeric, verbal and written communication and interpersonal skills• Excellent attention to detail• Experience managing your own time and meeting deadlines• Technical proficiency and computer literacy• Experience using databases and spreadsheet software, such as Microsoft Excel and SAP (or similar)Administrative experience (filing, preparing and editing letters, reports, memos, and emails)

Desirable but not essential

• ACCA qualification or similar• Knowledge of UK copyright law• Experience using SAP• Experience of using a custom-built databases

Conditions:The Senior Bookkeeper is responsible to the Senior Manager and the Managing Director.Permanent contract; 4-5 days a week (negotiable), company pension scheme; 6 months' probation period; holidays: 25 pro rata. Based in Notting Hill, London.Flexible hybrid working hours between 8:30 - 5:30 Mondays through Fridays£35,000 - £45,000 per annum, pro rata
