MLC Partners is working with a prestigous University in Central London on a pivitol post which is a 2 year FTC. This role is part of the School’s professional services team, working closely with the line manager to provide operational support to the School Office, particularly to the Head of School. The post holder’s responsibilities include:
- Ensuring tasks are carried out professionally, efficiently, and in a timely manner
- Adhering to external regulations and university policies
- Implementing best practices in all areas of work
Key responsibilities include providing day-to-day operational support to the School Office, Head of School, and School Manager. Specific duties include:
- Preparing materials for meetings, such as printing, binding, and scanning
- Coordinating and finalising meeting dates
- Preparing and distributing documents
- Organising meeting rooms, IT support, and catering
- Welcoming and assisting visitors
- Taking notes and minutes during meetings
- Coordinating travel and preparing travel itinerary packs
- Raising requisitions for purchases
- Reconciling expense reports
- Creating and filing documents
- Managing shared resources and ensuring accessibility
- Providing temporary coverage for the Head of School’s Executive Assistant during absences, including managing the diary and inbox
- Independently managing workload and priorities to meet objectives, adjusting to changing needs and priorities
- Addressing routine and more complex issues that may affect the department for up to 12 months, seeking guidance for more complex matters and using initiative to resolve issues
- Providing general administrative support to the Head of School and School Office as required
- Engaging in personal development opportunities
- Continuously improving standard processes, suggesting efficiencies, and sharing best practices with the team
- Offering advice, guidance, and training to colleagues on processes and systems
The post holder will engage with a wide range of individuals, including senior staff from academic, clinical, and government sectors. Strong communication skills, a diligent work ethic, and responsiveness to requests are essential. The role also requires handling sensitive and confidential information in compliance with regulatory standards. The ideal candidate should be organised, adaptable, and proactive in resolving issues.
