Job Purpose

Responsible for the delivery of the high quality outcomes for the Governance and Assurance department, including effective legal support to Lawyers within Legal Services, and supporting other internal and external stakeholders. To ensure the support provided to legal services is cost effective and customer focused. To support the legal service and the council in ensuring that the principles of good governance in decision making are achieved. To provide professional business support to Legal Services primarily but also to Governance and Assurance generally as directed by the Business Manager.

Responsibilities

You will undertake a range of administrative duties to assist across the department including:

1. Communicate effectively and respond to professionally to incoming phone calls, emails and correspondence.

2. Preparing documentation and drafting correspondence to internal and external officers in a professional manner.

3. Update and maintain IT systems, such as the shared drive folders, to ensure that records are up to date.

4. To maintain strict confidentiality of all records produced and received and be aware of requirements of the Data Protection Act 2018.

5. Providing support in facilitating and arranging interviews, meetings and also minute taking of meetings where appropriate.

Knowledge, Including Educational Qualifications:

  • Basic working knowledge of Microsoft Office applications including Word, Outlook and Excel
  • Understanding and ability to adhere to the Council's Confidentiality policy
  • An awareness of health and safety issues within an office environment and ability to adhere to the Council's Health & Safety policy

Experience

  • Ability to work efficiently and effectively as part of a team
  • Experience of using Microsoft Office to compose written materialsincluding appropriate use of emails
