Executive Assistant/Operations

Are you an EA with Financial Services background who is looking for more than a typical EA role? Would you like to join a dynamic start up Private Equity Fund as EA to the founders with extra responsibility for operations and culture?! Read on!

This is a unique and exciting opportunity for an exceptional EA to break away from a traditional role and join a fund right at the beginning of their evolution and be instrumental in shaping the company and office. If you have some experience as an Executive Assistant in FS, are an exceptional relationship builder and love all things logistics and operations then this could be the role for you.

This is a people focused company who are hugely collaborative, so the role will mainly be office based, but with flexibility.

Duties

  • Comprehensive diary and scheduling support to the Founders/Executive team
  • Book and coordinate travel and associated itineraries
  • Arrange logistics for all meetings both on and offsite
  • Answer calls and liaise with clients and all stakeholders building strong relationships
  • Produce high quality documentation
  • Process expenses according to company policy
  • Provide light touch support to wider team
  • Support the build out of the entire office and operations function
  • Supplier Management: Source suppliers for all office services
  • Manage supplier contracts and relationships
  • Human Resources coordination
  • Act as culture ambassador, working closely with leadership team to shape and drive the culture in line with company values
  • Liaise with building management, ensure health and safety, arrange maintenance, greet visitors
  • Marketing and events support

Person Specification

  • Experience in a similar position within a fast-paced global financial services environment
  • Degree educated along with emotional intelligence
  • Tech savvy with strong systems skills
  • Driven, ambitious and innovative
  • Exceptional written and verbal communication skills
  • A natural relationship builder
  • Able to handle confidential information with discretion
  • Proactive and forward thinking anticipating upcoming projects
