The opportunity
Based in the Private Wealth team Providing PA support to partners and fee earners with matters related to residential property, employment, business affairs and family law. Adapting to and growing an effective working relationship with each of their fee earners. Setting the example of a high standard of secretarial and administrative support within the practice.
Responsibilities
• Providing efficient PA, secretarial and admin skills to a designated group of partners and fee earners
• Assisting partners and fee earners to maintain/enhance the department’s relationships with clients
• Providing support in a professional manner in keeping with the firm’s standards of client care
• Acting as the interface between the fee earner and the office, being aware of firm’s policies and providing guidance
Main Duties
• Dealing proactively, efficiently & confidentially with a range of activities: correspondence; drafting letters; formatting, pro-forma billing; producing billing reports. receipting client monies, posting disbursements, booking courses, paying membership fees, audio typing; document production; filing; meeting preparation; file opening to include producing Client Care Letters, High Risk Forms and AML forms, running conflict checks, file closing and archiving, locating/collating documents, updating Interaction, monitoring emails, allocating and saving incoming post, organising couriers, assisting with organising client marketing events, dealing with expenses, adhering to the firm’s procedures & security protocols
• Attending to clients/ third parties and progressing matter openings
• Liaising with clients, the firm’s compliance team and fee earners to ensure client compliance: money laundering checks; conflict of interest checks; Client Care letters
• Acts as a mentor/coach to new trainees/fee eamers/ team members
• Undertakes a supervisory role for more junior members of the team, ensuring the department operates in accordance with internal processes, deadlines and external regulatory requirements
• Leads by example, has a flexible approach and is considered to be a positive role model
• Anticipates potential issues/areas of concern and recommends appropriate solutions
• Organising and maintaining diaries for designated partners/ fee earners
• Providing cover for other PAs absence
Key Requirements
• Minimum education of GCSE Grade A - C in English & Maths or equivalent
• Advanced Microsoft Office skills
• Minimum word processing speed of 70 per minute
• Previous experience of file management systems, legal accounts procedures, standard court procedures and court processes
• Minimum 5 years previous experience as a PA
• Strong verbal and written communication skills (good spelling & grammar)
• Good communication and interpersonal skills - able to deal confidently & appropriately with people at all levels
• Self- motivated, reliable and proactive - able to plan, prioritise and organise
• Professional attitude, a team player with a can-do attitude, multi-tasker
• An understanding of legal transactions and accounts packages
• Flexible to work outside normal office hours when required to complete the job
• Acts with discretion
