US law firm based in stunning offices is hiring a Legal PA to work within the Corporate M&A team on a permanent basis.  The Legal PA is responsible for supporting a high-volume assignment with all administrative support needs.

Responsibilities of the Legal PA:

  • Manage day-to-day administrative needs of the assigned Partner's practice.
  • Arrange, maintain and organise appointments, schedules, calendars and e-mails.
  • Manage all aspects of attorney travel including booking, transportation, lodging, and related activities.
  • Work closely with the Business Development team regarding client engagement.
  • Screen telephone calls, mail and visitors, maintaining electronic notes, inquiries, and status of communications.
  • Prepare documents including the creation/editing of original legal documents, spreadsheets, presentations, letters, memos etc.
  • Schedule complex work-related activities.
  • Screen correspondence and maintain confidential files and records.
  • Collaborate with firm Finance Department and clients on the management of billing matters and assists in the preparation of client billing, invoices and expense reports.
  • Stays abreast of relevant firm systems and processes and leverages them to improve efficiencies and elevate client service.
  • Completes other tasks as assigned or needed, including special projects.

Requirements of the Legal PA:

  • At least three to six years of prior work experience as an assistant supporting a high level or C-suite professional, preferably in a legal or professional services industry.
  • Complex diary management experience.
  • Solid working knowledge of Microsoft Office (i.e., Word, Excel, Power Point) and Adobe Professional.
  • Experience working with billing/invoicing databases and document management systems.
  • Exemplary organisational skills.
