Active Training Team Ltd are a London-based company who use experiential and immersive training to bring about behavioural change in people and organisations. Our training combines interactive experiences, film, drama, live action and facilitated discussion.

Purpose of the role: To supply general administrative and practical support to ensure that everything is in place to make the office a great environment to be. You’ll oversee the smooth running of the office facility and ensure that equipment is maintained to the appropriate quality and quantity, ensuring relevant records are up to date and all general administrative processes work effectively.

Key responsibilities (to include but not limited to):

  • Being the ‘go to’ person for office queries.
  • Management of office and related facilities, including stakeholder relationships with reception, security teams and cleaning contractors
  • Reception duties, to include answering incoming calls, general enquiries, scheduling appointments, managing parking rota and office calendar and managing postal correspondence.
  • Welcoming guests, organising food and drink deliveries, maintaining general kitchen supplies i.e. tea, coffee, fruit, etc.
  • Managing stationery supplies
  • Helping to arrange meetings including venues, meeting rooms, presentation documents, agenda, catering etc.
  • Organising socials and events.
  • Assisting with IT operations through our outsourced IT company which includes managing software accounts, ordering IT supplies, ensuring any faulty IT equipment is replaced and be responsible for the asset register.
  • Supporting the Systems Executive with phone systems, Staff Savvy and Artifax software and providing support to the team when required. 
  • Maintaining the condition of the office and arranging for necessary repairs by liaising with the landlord
  • Overseeing cleanliness and tidiness of the office (i.e. making sure the team do this)
  • Review and update office health and safety policies, ensuring they are up-to-date and observed.
  • Arranging regular testing for electrical equipment and safety devices.
  • Review of yearly fire risk assessment and keeping staff up to date on fire evacuation procedures.
  • Booking travel for the team, including transport, hotels, car hire, itineraries etc 
  • Diary management for leadership team
  • General administrative duties as required.
  • Assist with managing office expenses and purchase orders.

  • Clear understanding of confidentiality – to recognise the division between our company, our clients, and our freelancers, and the best way to navigate this (advice and training given)
  • Interested in the performing arts, events, film, event production, or arts administration.
  • Previous office or administrative experience preferred.
