ractice Administrator - reporting to the Practice Manager

Our client is a successful accountancy practice seeking an Assistant to the Practice Manager.

The successful candidate will assist the Practice Manager with the smooth running of the office and provide general administrative support to the team.

Duties will include but are not limited to:

Ordering stationery and catering supplies. Checking stock regularly and order and replenishing as necessary to ensure that supplies never run out You will assist with organising company social events, leaving parties, Christmas cards and gifts for staff and clients. You will be responsible for the day-to-day opening of post, scanning in relevant letters and filing in the company shared drive as well as sending it to the team members impacted. You will liaise with outsourced IT providers and order new IT equipment for the team where necessary and set up new users and work stations. You will also assist with invoicing clients, tracking of confirmation statements due for clients and file them through the Practice Management Software before the filing deadline. You will assist with onboarding new clients into the system and send professional clearance letters to previous accountants as well as complete AML checks on clients. You will send reminders for filing deadlines and send reminders to clients from Practice Management software for:

o Limited company year-end accounts

o Personal tax returns

o VAT returns

You will manage and report on the teams timekeeping software, liaise with outsourced payroll provider to manage monthly PAYE filings for clients to ensure everything is accurate before sending.

Requirements

You will be driven and motivated, a team player and have the flexibility and the attitude to embrace a variety of tasks that are not necessarily in your job description as would be expected in a smaller organisation. You will be energetic, outgoing and able to thrive in a customer-facing role and enjoy interacting with clients and helping them with their wide variety of needs. You will have the ability to balance multiple projects and prioritise tasks while remaining on top of everything. You will have experience in a varied administrative role.

Technical skills required:

Excellent spoken and written English. knowledge of Microsoft Excel and Xero, TaxCalc, Teamwork and BrightPay experience ideal but not essential

Monday - Friday, Full Time in the office

Our client will consider someone on a Part Time basis for 3 or 4 days per week with the ability to increase days over time.
