Summary

An Independent School catering for SEMH needs is seeking a School Office Administrator to join them ASAP. This is a full time permanent role working 35hrs per week, Monday to Friday.

About the School

Is a specialist school that support young pupils with various SEN needs including mental health. Candidates understand that the role can be challenging on a day-to-day basis, dealing with complex emotional and behavioural needs of students.

Duties and Responsibilities

You will be working under the direction of the Headteacher / School Business Manager (SBM) and support with the following (not exhaustive):

  • To provide direct administrative and clerical support within the administration team
  • Are responsible for all administrative, designated financial and organisational processes within the school, maintaining
  • Confidentiality always.
  • Assist with all the planning and development of support services.
  • Is the main point of contact/front of house for the school

At Reception

  • To be a point of contact for both telephone and face-to-face enquiries and take messages where appropriate.
  • To ensure school security arrangements are always complied with, including the issue of visitor’s badges and signing of
  • the visitor’s book.
  • To accept and sign for deliveries as appropriate.
  • To provide hospitality for visitors to the school.

Clerical

  • To input and process information, data and reports from school MIS system as requested (part of Cycle of Reporting)
  • To be responsible for the preparation and maintenance of the manual and computerised pupil data records.
  • To assist with the monitoring and maintenance of stock and order supplies as necessary.
  • To provide general clerical support as required.

Resources & Finance

  • Manage office expenditures with an agreed budget
  • Manage designated service contracts
  • Assist with the organisation of premises repairs under the direction of the SBM
  • Manage school licences and insurances
  • Ensure the office is kept tidy, organised, and in good order at all times, making sure there are sufficient office resources available

General

  • Ensure that all duties and services provided are in accordance with the School’s Equal Opportunities Policy.
  • To observe the Health and Safety at work regulations and to report any cause for concern to the SBM
  • To contribute to the safety of children and young people and protect them from harm by reporting any cause for concern to the Head Teacher/SBM
  • To value and promote people’s equality, diversity, and rights always and to conduct yourself in a non-discriminatory manner

To be successful, you will need:

  • GCSE in English and Maths Grade C Minimum
  • Enhanced DBS on the update service, or be willing to undergo a new check
  • Experience of working in a busy office environment (desirable)
  • Resilience, empathy, integrity and honesty
  • Developing, managing and operating clerical/administrative/financial and organisational systems
  • A working knowledge of Microsoft Office software. e.g. Excel, Word, Power-Point
  • Good typing and communication skills
  • The ability to work under pressure and meet deadlines
  • Ability to produce professional, accurate and factual documents
  • Understanding of school policies and procedures
  • Ability to plan, organise and prioritise
