Secretarial Support Administration Assistant - US Law Firm - Excellent Salary & Benefits, plus hybrid working and FREE BREAKFAST & LUNCH (when in the office)!
This role will provide admin and secretarial support to the Secretarial Services management team, and others to efficiently support the departmental needs.
Main duties:
* Monitor morning absence calls and emails, and ensure any secretarial absence is communicated and assign alternate cover for same-day sickness absence, notifying attorneys/teams accordingly
* Coordinate secretarial holiday and personal time requests, ensuring cover is available, and arrange when needed
* Work with HR to source secretarial buddies for new joiners
* Schedule meetings and assist with planning and coordinating department meetings and events
* Use Firm software (MS Office, including Excel & PowerPoint, DMS, PeopleSoft etc.)
* Monitor and maintain legal secretary attendance and overtime records
* Monitor, coordinate, and maintain secretarial services intranet site and materials
* Other general duties and projects as required
