We have an exciting opportunity for an experienced Administrative Assistant to work for our global pharmaceutical client based in Moorgate, London. The Senior Associate Administrative Services is responsible for providing comprehensive administrative support for Associate Vice Presidents, Executive Directors and Directors within the Global Medical & Scientific Affairs Oncology Therapeutic Area.

Being a self-starter who is able to proactively manage priorities and independently resolve issues is a key dimension of the position.

In order to execute these responsibilities, the incumbent must partner with many internal and external stakeholders, the ability to integrate effectively and quickly with the other members of Support Staff is essential. The ability to adjust to constant/changing situations and the ability to manage relationships with others is essential.

The role is a full-time temporary contract initially signed off for 12 months with a possible extension offering an hourly rate of £14.29 - £24.29 depending on experience, plus 25 days holiday pro rata and other benefits. Our client offers the option of hybrid working and this role does require some travel when required.

Duties and Responsibilities

  • General Secretarial/Clerical responsibilities
  • HR systems related activities- experience with Workday preferential
  • The coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments
  • Prioritisation of workload and ability to multitask and work efficiently with little supervision
  • Schedule complex, multi-leg and international travel in a thoughtful way
  • Support the use of Team Sites
  • Communication Skills must be at a level to effectively interact with internal executives and internal/external clients both on-site and remotely
  • Carry out and co-ordinate special projects within the division/area
  • Support select direct reports and other members of the group, managing multiple calendars
  • Maintain a high level of confidentiality

Experience, Knowledge and Skills

  • A minimum of 5 years’ experience supporting senior executives (Executive Director, VP or above)
  • Advanced computer skills (Excel, Power Point, MS Word, etc.) and operation of other peripheral devices
  • SAP experience processing: Purchase Orders and Payment Requests; Vendor Add Forms, as well as the capability to run reports within SAP
  • ARIBA experience for raising and managing PO’s
  • Experience of scheduling complex travel arrangements including multi-leg domestic and international travel- preferably via Concur
  • Advanced secretarial/clerical abilities with a history of high performance
  • A strong performer in current and past positions
  • Ability to handle and prioritize a large number of simultaneous assignments
  • Experience with event planning and coordination
  • Outstanding communication and people skills
