Maternity Cover. Hybrid role. 6 - 9 month booking. Start ASAP. Great role for an experienced EA or PA with line management experience. As well as providing top level EA support you will lead the secretarial team providing direction and guidance to the Executive support team to offer a seamless and customer-first service to the executive office. You will maintain the quality of support provided to the Executive team by analysing and resolving workload pressures and recommending system improvements and providing regular reviews of employee efforts.

In addition, the post holder will directly support key members of the Executive team (usually the Vice-Chancellor and Deputy Vice-Chancellor) managing workflow, keeping track of reports, actions and deadlines, drafting reports, papers, and letters, arranging appointments, and minuting agreed meetings (e.g. formal executive meetings). The post holder will also support the Executive on key project management issues.

Candidates should demonstrate:

  • Significant experience in a senior secretarial / administrative capacity with experience of leading a team.
  • A keen eye for accuracy and attention to detail with strong written communication skills and the ability to draft and edit documents and produce summaries.
  • Excellent organisation and administration skills with the ability to plan and prioritise work for self and others.
  • Professional interpersonal and communication skills on the phone and face to face, for engagement with external contacts and staff, including the ability to persuade, motivate and negotiate effectively.
  • Good analytical skills with the ability to identify key points from complex material or information.
  • An ability to manage several projects and tasks at the same time and to identify and prioritise important activity.
