We are seeking an experienced, highly organised and proactive Chief of Staff to support an Ultra High Net Worth Individual and their family office. The ideal candidate will be a Russian Speaker, with a dynamic and discreet approach to handling a diverse range of responsibilities.

Main Responsibilities:

  • Act as Director of Office and any other Associated Company reasonably requested by the Company
  • Management of all household staff in UK and Italy
  • UK - Rotas, weekly staff meetings in person, allocation of and ensuring duties are carried out, ensuring procedures are followed.
  • Italy - Rotas, weekly Zoom meetings, monthly in person visits, allocation and ensuring duties are carried out, ensuring procedures are followed.
  • Coordinating and working with all advisors and consultants (business, tax, legal, medical, and more)
  • In charge of all financial aspects of the private office and principal's personal finances (accounting, weekly financial reporting, monthly payroll, expense management, tax filing, mortgage reviews, all insurance policies)
  • Oversee all legal aspects of the private office. (Liaising with lawyers, oversight of all contracts, employment contracts, NDAs, lease agreements etc. and liaising with Parliament to keep register of member's interests up to date)
  • Business secretarial requirements (go-between for Principal and his businesses) as well as any other secretarial requirements.
  • Artwork management (inventory, sales, archiving, logistics etc.)
  • Commercial candle management.
  • Italy structure / set up
  • All property rentals
  • Staff recruitment
  • Medical stock inventory and ordering
  • Maintain existing financial audit procedures ensuring all staff adhere to financial policies.
  • Provide solutions to any issues that arise.

Skillset / Experience:

  • Ability to listen, process and action all requests with utmost urgency in accordance with principles instructions.
  • An operator who understands how to navigate private offices.
  • A switched-on individual who thinks outside of the box.
  • A solution driven individual with an attitude that no task is too small or too big no isn't an answer.
  • Utmost discretion.
