Our client is a global leader in logistics are seeking an Executive Assistant and Office & Facilities Manager to join their Insurance & Risk Management team in London. This role offers the opportunity to provide comprehensive support to senior executives while ensuring the smooth operation of the office. What you will do:

  • Provide direct support to senior level executives and ad-hoc support to team members as required
  • Manage day-to-day calendars of senior management
  • Coordinate all aspects of executive level appointments, meetings, receptions, and conferences
  • Prepare and review materials for meetings, town halls, off sites
  • Assist with creation/modification of presentations, spreadsheets, and other documents
  • Coordinate travel arrangements and complete expense reports for executives
  • Handle confidential information with discretion and professionalism
  • Oversee daily operations of the office, ensuring a productive work environment
  • Organise company events, meetings, conferences, implement office policies and procedures

What you will bring:

  • Proven experience supporting senior level executives within a multinational company
  • Experience managing complex calendars and coordinating international travel arrangements
  • Experience overseeing office operations including managing supplies and coordinating with vendors
  • Strong experience drafting professional communications
  • Excellent organisational and time-management skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to multitask under pressure
  • High level of discretion and confidentiality
