We are seeking a proactive and enthusiastic Facilities Administrator to support our Facilities Management team across London. If you thrive in a fast paced environment and are passionate about providing seamless administrative support, this could be the perfect opportunity for you!

Responsibilities:

Risk Assessments:

  • Upload Health & Safety, Fire Risk Assessments, Asbestos, and Legionella reports into designated file locations.
  • Schedule re-inspections as needed

Health & Safety/Compliance:

  • Review Risk Assessments and identify necessary remedial actions.
  • Obtain quotes from approved suppliers and instruct works within the inclusive repair limit.
  • Manage regional quote logs and update the Statutory Compliance tracker upon task completion.

Statutory Compliance Services:

  • Monitor and ensure compliance schedules are met.
  • Upload and review contractor reports, flagging non-compliance and requesting quotes for remedial work
  • Provide feedback during contractor review meetings.

Office Admin Support:

  • Assist with ad-hoc administrative duties, team projects, meeting support, and clerical tasks.
  • Cover for team members during annual leave and assist with Facilities Management project work.

Candidate Specification:

  • A true team player with excellent communication skills
  • Experience working within an administrative based role
  • Ability to work proactively in a fast paced environment
  • Facilities/Compliance Management experience - Desirable
  • Tech Savvy - Proficient in Microsoft Office
  • Fast learner - able to learn new systems
  • Keen eye for detail
  • A proactive attitude and strong work ethic is essential!
