We are seeking a diligent and highly organized Facilities Administrator to become a key member of our operations team. The Facilities Administrator will be responsible for the smooth running of our facility by managing both reactive and planned maintenance jobs, handling daily email communications, raising purchase orders, processing invoices, booking meeting rooms, and maintaining detailed records using Excel. This role requires an individual who displays strong communication skills, the ability to build relationships, and an aptitude for organization.

Responsibilities: The role is part of the Facilities administration team & our internal Help desk which will involve:

  • Managing jobs, booking in Contractors
  • Raising PO and dealing with Invoices
  • managing our CAFM system on both Reactive and Planned Jobs.
  • Scanning and manage expense claims.
  • Deal with daily emails
  • Book meeting rooms
  • You will need strong excel skills to perform this role
  • Basic IT support to all facilities team members
  • Thorough knowledge of and compliance with our procedures and standards
  • Contribute, or otherwise assist, as required

Applications

  • Infogrid - asses monthly reports and create work orders on defective equipment (training given)
  • Infraspeak - support ongoing development and integrations • legionella dossier (reporting software - training given)

Analysis

  • Produce monthly and annual reports for facilities and other departments.
  • Assist with analysis of data and creating reports
