Key Responsibilities: As a Facilities Assistant, you'll work closely with the Senior Facilities Lead and the rest of the team to provide comprehensive support across various functions, including:
- Switchboard Management: Ensure the outsourced switchboard operates smoothly, maintaining backend systems with starter and leaver details.
- Meeting Room Setup: Prepare meeting rooms with refreshments and ensure they are promptly cleared after use.
- Catering Coordination: Organise catering for meetings and events, ensuring everything is in place for a successful gathering.
- Reception Duties: Welcome guests and manage deliveries while maintaining a professional front of house.
- Travel Booking: Assist with booking travel arrangements for fee earners, both in the UK and abroad.
- Maintenance Monitoring: Keep an eye on the office environment, reporting maintenance and security issues promptly.
- Health & Safety: Adhere to health and safety procedures, reporting any incidents or near misses.
- Team Support: Provide ad-hoc administrative assistance to the Head of Facilities and Senior Facilities Lead.
Key Skills:
- Proven experience in facilities support, front of house, or travel booking.
- Excellent customer service skills and a professional demeanour.
- Strong IT skills and hands-on experience with office equipment.
- Ability to multitask, prioritise, and work as part of a close-knit team.
- Good written and verbal communication skills. ??
