The ideal company will have worked in a similar position for a minimum of two years and thrive in a busy fast paced environment. You will be responsible for maintaining a positive working relationship with all members of the building and the Property Maintenance team. Main Duties
- Maintaining and supporting management of all aspects of the Building
- Assist in the supervision of the in house teams and contracted Maintenance providers.
- General Operational and Administrative duties
- Charge Management Processes- Reviewing Forecasts and issuing Written Budget reports
- Ensuring all Invoicing is are completed on time
- Ensure any communication received regarding the property services is dealt with in a timely and efficient manner
- Assisting with Tender and colation Processes of Service Contracts
- Maintain expenditure records
- Supporting the management of soft service contracts including, cleaning, security, Helpdesk, reception, mail room, landscaping, pest control and waste management services.
- Help to carry our Building inspections to ensure standards are being met
- Reporting deficiencies observed and ensuring they are fixed within a timely manner
- Managing small repairs and ensuring they are dealt with and within budget
- Ensuring that the Front of House is always professional and maintained to the highest posssibe standard,
- Assisting with Audits and giving recommendations for building improvements
- Maintain the compliance systems and book in and coordinate upcoming inspections
- Maintain clear records of actions arising from statutory inspections and audits, record works undertaken to address these using the online compliance system.
- Provide regular reports on statutory compliance.
- Work closely with the management to coordinate training course bookings for all members of the team
- Coordinate disruptive task communications ensuring occupiers receive clear, concise and timely notifications.
- Actively participate in the planning, implementation, monitoring and reporting of sustainability and corporate social responsibility initiatives.
- Manage and participate in the corporate and marketing events for the property.
