SALARY: 42,000 - 46,000 (3 days a week, pro-rata)**
Key Responsibilities:
- Administrative Support:
- Manage calendars, schedule meetings, and coordinate appointments for team members.
- Prepare and distribute meeting agendas, minutes, and presentation materials.
- Handle travel arrangements, including booking flights, accommodations, and transportation.
- Documentation and Reporting:
- Maintain and organize confidential files and records.
- Assist in preparing financial reports, presentations, and spreadsheets.
- Ensure accurate data entry and updates in internal systems.
- Team Coordination:
- Act as a liaison between internal departments, clients, and stakeholders.
- Assist in coordinating team projects and ensuring deadlines are met.
- Facilitate onboarding for new team members, including setting up equipment and access.
- Operational Support:
- Monitor and manage office supplies, budgets, and inventory for the team.
- Support compliance by adhering to regulatory standards and internal policies.
- Assist with event planning, such as team offsites and client meetings.
- Client and Stakeholder Engagement:
- Serve as the first point of contact for external inquiries and visitors.
- Build and maintain positive relationships with clients and vendors.
- Ensure prompt and professional responses to inquiries
Qualifications:
- Previous experience as an administrative assistant or team coordinator, ideally within financial services.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking abilities with attention to detail.
- Excellent verbal and written communication skills.
- Familiarity with financial terminology and regulatory compliance (preferred).
- Ability to handle confidential information with discretion.
- Self-motivated and adaptable to changing priorities.
