Job Title: Estate Manager - Site based

Salary Expectation: £55,000 - £60,000 per annum

Working hours: Monday - Friday (8:00am - 17:00pm)

Location: Putney - SW15

A distinguished private estate comprising 228 flats across multiple buildings is seeking an experienced and dedicated Estate Manager. This estate, established in the 1930s, features expansive gardens and a welcoming community atmosphere. The Estate Manager plays a pivotal role in preserving the estate's legacy by managing its maintenance, operations, and community relations. Reporting to the Board and working closely with the Managing Agent, this position ensures the smooth and efficient running of the estate.

Key Responsibilities:

Leadership and Staff Management:

  • Oversee a team of 10 staff, including administrative personnel, porters, and gardeners.
  • Conduct performance appraisals, set objectives, and identify training opportunities.
  • Foster a positive and productive working environment to ensure smooth daily operations.

Estate Maintenance and Operations:

  • Ensure all buildings and communal areas are clean and well-maintained.
  • Maximise rental income from estate assets, including storage facilities and garages.
  • Oversee minor repairs and liaise with contractors for significant works.
  • Address lease term enforcement and resolve resident issues efficiently.

Leaseholder/Resident Relations:

  • Act as the main point of contact for leaseholders and residents.
  • Communicate estate updates and gather feedback to maintain high service standards.

Contractor and Supplier Management:

  • Ensure compliance with contracts, estate policies, and health and safety standards.
  • Monitor contractor performance and manage budgets in collaboration with the Managing Agent and Board.

Budgeting and Procurement:

  • Develop and manage annual budgets for maintenance and communal areas.
  • Administer procurement processes, securing competitive quotes for larger works.
  • Maintain accurate financial records and monitor stock levels.

Security and Health & Safety:

  • Manage estate security, including personnel, systems, and equipment.
  • Conduct regular fire safety checks and maintain evacuation assistance details.
  • Liaise with local authorities on safety matters and respond to incidents effectively.

Company Assets:

  • Maintain a comprehensive inventory of estate assets and conduct annual checks.
  • Optimise revenue from facilities like garages and storage spaces.
  • Ensure communal areas are regularly inspected and well-stocked.

General Administration:

  • Participate in Board and leaseholder meetings, providing updates on estate management.
  • Maintain up-to-date records and procedures.
  • Stay informed about industry best practices through training and development.

Personal Qualities and Skills:

  • Strong leadership and team management abilities.
  • Exceptional organisational and problem-solving skills.
  • Proficiency in budget management and procurement, with a focus on cost efficiency.

This is a full-time position requiring occasional flexibility to handle out-of-hours emergencies. The Estate Manager is expected to uphold the highest standards of professionalism, ensuring the estate remains a safe, welcoming, and well-maintained environment for residents and staff.
