Working closely with the rest of the Security & Compliance Team, the Administrator will be accountable for supporting the Security & Compliance team to deliver project work related to audit and certification.

The ideal candidate would be a committed, passionate and motivated individual to join the team to further strengthen compliance. They will be a completer / finisher with an eye for detail demonstrating a commitment to supporting quality, professionalism and integrity. The candidate must have a pragmatic approach, be able to see the bigger picture/object and be able to be self-supporting and as such break down the tasks into the objectives to achieve the goals.

Key accountability's include:

  • Keep records and reports up to date
  • Organise, schedule, coordinate and minute meetings
  • Update and or create new policies and procedures publishing these in line with our internal document control
  • Communicate and socialise the new or updated policies and procedures and track compliance to these
  • Setup, coordinate and execute policy validations table-top and simulation events/exercises
  • Coordinate stakeholders including customers and external auditors
  • Coordinate and monitor tasks and workplans working closely with the Site Managers and relevant teams across the business
  • Coordinate pre-audit work for regulatory compliance audits from records held on various systems and ensure appropriate audit evidence is collated for the auditors (training will be given on systems where needed)
  • Send out pre-audit information to teams and sites in advance of the audit date.
  • Coordinate answers to queries as required and keep good records
  • Participate in debrief sessions to note and cascade lessons learned, use Teams
  • Planner to track and monitor these for completion
  • Handle technical issues in their area of expertise
  • Support and training will be given to maintain up to date knowledge of audit tools, priorities and key activities that need to be supported and coordinated

KNOWLEDGE & EXPERIENCEMust have's

  • Relevant professional qualification including (but not restricted to) NVQ in business and administration or completion of a degree in business or a similar relevant subject
  • Must have excellent communication skills
  • A minimum of 1 years' experience of working with stakeholders within a fast paced, dynamic environment
  • Meticulous approach with a drive for accurate, transparent and high quality results
  • Striving to achieve adequate solutions to achieve sound outcomes
  • Proven strong stakeholder engagement including coordination of meetings record keeping and reporting
  • Fluent in English (speaking/writing), other European languages especially Spanish is a plus but not required
  • Proven analytical, evaluative, and problem-solving abilities
  • Competent with end-user IT equipment and systems, including extended Microsoft Office, Teams and SharePoint skills
  • Keen to learn about new systems (with appropriate training and guidance)

You must be based in the UK and open to travel to London on occasion.
