A leading property business specialising in property acquisitions and investments, committed to delivering exceptional service and results, is recruiting. They are looking to expand the acquisitions team and are seeking a highly motivated and organised Team Assistant to support the sales progression process.As a Team Assistant, you will be working closely alongside one of the Founders of the business. You will provide administrative support for the Acquisitions team. You will play a vital role in ensuring smooth sales progression, from initial inquiry to completion while maintaining effective communication with clients, solicitors, and other stakeholders.Role overview:
- Job title: Team Assistant
- Location: West Hampstead, London.
- Salary: £35,000 - £40,000 per annum, depending on experience.
- Hours: Full-time (9:30 - 6:00 Monday to Thursday and 9:30 - 5:00 on Fridays).
Key Responsibilities of the Team Assistant:
- Assist in managing and tracking the sales process of property acquisitions.
- Liaise with sellers, solicitors, surveyors, and other key stakeholders to ensure smooth transaction flow.
- Monitor the status of property deals and update the internal system regularly.
- Prepare, review, and track documents and reports related to sales and acquisitions.
- Maintain accurate records of communication and progress with stakeholders.
- Alongside the Founder act as the main point of contact for clients and external parties involved in the sales process.
- Provide regular updates to clients regarding the status of their transactions.
- Maintain an organised filing system for contracts, agreements, and other documentation.
- Prepare contracts, agreements, and relevant legal documents in collaboration with the legal team.
- Coordinate and arrange property viewings, surveys, and inspections as required.
- Perform general office tasks including managing calendars, scheduling meetings, and taking meeting minutes.
- Work closely with the Founder and Acquisition Managers to ensure seamless sales progression.
- Provide ad-hoc support for the wider acquisitions team when required.
- Suggest improvements to streamline sales progression processes and enhance team performance.
- Contribute to team meetings and provide insights into the sales workflow.
Required Skills and Qualifications:
- Previous administrative or assistant experience in a property sales or acquisitions environment is essential.
- Strong organisational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to handle multiple tasks and priorities effectively.
- Strong interpersonal skills and ability to work in a team environment.
- Proactive, enthusiastic, and self-motivated with a willingness to learn.
