An US Law firm with a phenomenal reputation and stunning offices in the heart of the City are seeking an events coordinator to join their team.

You will be able to offer 2 years experience of supporting a professional services firm with meeting planning experience and you will be assisting in planning and executing multifaceted internal and external meetings, conferences, and networking events, while working closely alongside Marketing Department colleagues and key event stakeholders. The firm's stunning new offices are the perfect place to host clients and internal colleague events!

Your day to day role will include -

  • Event briefing: You will be involved from day one with taking the event objectives and ou will review event brief materials and documentation ensuring adherence to global brand standards and swift turn around.
  • Delegate Management: You will assist with set up of event registration, compile weekly reports of attendee RSVP status utilising event software to ensure accuracy and reconciliation of payments (if applicable), and a timely resolution of all client inquiries.
  • Logistics: You will project manage the planning and executing all event logistics including liaising with internal/external vendors for food & beverage, production, giveaways, etc., while adhering to planning timeline, brand standards and budget constraints. Provide on-site event coordination support as needed.
  • Event Deliverables: You will coordinate production of on-site event deliverables, i.e. name badges, tent cards, signage, and printing and shipping of all materials.
  • Administrative Tasks: You will regularly monitor and update event calendar; maintain event budgets and process all invoices in a timely manner; reconciling expenses related to events through the firm system; assist with budget tracking and reporting.
  • Keep up to date on industry topics and trends, excellent venue knowledge, you will be regularly researching and visiting venues..

Excellent communication skills with a real ability to work in a fast-paced and high volume environment is essential.

Candidates must be proficient in Microsoft Office and database management; experience with Dynamics and Vuture is preferred.
