Do you have experience managing corporate events? Do you have excellent organisation, time management and communication skills? If so, Signature Recruitment is currently seeking an Events Coordinator for our client, a leading London university. This is a temporary, full-time position with an immediate start for eight months. The role is offered on a hybrid working arrangement - with two days on campus and the balance from home, but some flexibility may be required to attend events.

In this role, you will be at the forefront of project managing a range events including public lectures, workshops, seminars, conferences and other community events. You will collaborate with the Events Manager to execute large-scale events - focusing on venue bookings, catering, AV arrangements, guests and other logistics. Your responsibility will encompass providing expertly managed events, ensuring meticulous organisation and attention to detail with the completion of all associated paperwork.

Events Coordinator Key Responsibilities:

  • Assist in the development, planning, promotion and execution of a wide range of events, including public lectures, seminars, conferences, community events, panels, and launches - all working closely with the Events Manager
  • Working with colleagues to arrange suppliers, venue/room hire, catering, post-event dinners or receptions, security, audio visual equipment, invitations and other requirements whilst administering the event budget
  • Preparing and maintaining paperwork including checklists and other event planning documentation
  • Confidently liaising and meeting with and responding to queries before, during and after events
  • Assisting with the set up and break down of events including monitoring attendance and engagement with the events and reporting as required
  • Acting as Secretary to the Events Committee. To include preparing and distributing the agendas and related papers, attending meetings, writing and circulating minutes and ensuring all actions are followed up

Events Coordinator Key Skills:

  • Demonstrable experience in organising and managing events of varying sizes and types - including lectures, seminars, workshops and conferences
  • Excellent written and verbal communication skills with the ability to communicate effectively with all stakeholders including academics and high-profile VIPs
  • Personable and proactive - with the ability to plan and prioritise work, often working on multiple tasks simultaneously but maintaining attention to detail
  • Highly proficient IT skills including Microsoft Office applications and College databases
