My client is a leading Legal membership organisation is currently recruiting for a Events and Training Coordinator.

The Role of Events and Training Coordinator

The Training and Events Coordinator carries out administrative tasks and duties that enable the

effective and efficient running of the membership organisation’s training, events and associated services.

Key Responsibilities

Administration of training and events

Process bookings, orders and expressions of interest for training, events and associated services

Administer training and professional development records for members

With colleagues from Central Services, track training and learning bookings and administer associated financial processes where necessary

Administer postponement, cancellations and booking transfers for members and customers on training, events and associated services

Work across the different platforms, such as the membership database, the content management system (CMS), and the learning management system (LMS), to aid joined-up working between administrative processes and associated services

Assist with the delivery of the podcast, including recording, editing and uploading to

online platforms.

Membership support with training, events and associated services

Support with membership services such as the recruitment of members on to membership organisation committees and working parties

Ensure members’ queries and support requests regarding training, events and associated

services are dealt with in a timely and accurate fashion

Support colleagues with general member queries and support requests

Triage and refer on members’ queries and support requests

Process orders for publications and assist with stock management

Assist with the administration of subscriptions on the online agreements platform

Administration of training and events

Liaise with trainers and established courses qualifications, to ensure materials are prepared for course delegates in good time

Identify appropriate venues and suppliers for training, events and associated services

Liaise with venues and suppliers to ensure all practical arrangements for training, events and associated services are in place

Receive contracts, check requirements and ensure they can be signed off by the appropriate member of staff in a timely fashion

Help to ensure the rolling programme of new and established training and events runs smoothly, efficiently and to budget.

Update training and learning information and material on our online learning platform, including course material from events and info in our trainer directory

Arrange for course materials provided by trainers and speakers to be printed, branded and distributed.

Mange the booking of speakers and trainers for training and events, confirming their availability and requirements, including fees and expenses.

Manage the administrative process for workshops at the flagship conferences

including liaising with speakers and managing bookings

Arrange for sponsor and exhibitor requirements to be incorporated into the delivery of events.

Delivery of training and events

As and when necessary, attend training and events, providing on-the-day services and support ensuring the experience of delegates is of a high quality

Administer venue and room requirements for training and events, such as the provision of audio-visual equipment and refreshments for delegates.

Greet delegates, speakers and trainers, sponsors and exhibitors.

Assist with the setting up of rooms for training and events, including seating and table layout and refreshments

Help ensure training rooms and training facilities are tidy and well presented

Ensure the provision of drinks and refreshments for delegates are set up for training and events

Ensure workshops are run smoothly at the flagship events and assisting speakers on

the day

Online training and learning

Update training and learning information and material on our online learning platform, including course material from events and info in our trainer directory

Ensure smooth management of members’ online user accounts on our online learning

platform

Ensure members’ queries and support requests are dealt with in timely and accurate fashion

Wherever necessary, assist colleagues with the development and implementation of a growing range of training, learning and professional development services for members and non-members.

Evaluation and reporting

Maintain and make improvements to the systems for gathering and logging feedback on our training and learning.

Promotion of training, events and associated services

Prepare and send out publicity for training, events and associated services, when necessary

Work with colleagues across the organisation to ensure training, events and associated services are marketed and promoted to members and non-members
