- Lead all aspects of event planning, coordination, and execution, including scheduling, logistics, and documentation.
- Conduct meetings and consultations with clients to understand their event requirements and translate those into actionable plans.
- Collaborate with internal teams such as commercial, food & beverage, cleaning, health & safety, and others to ensure flawless event delivery.
- Oversee event setup, live periods, and breakdown, ensuring all equipment is in place and any required remedial measures are addressed.
- Provide exceptional client service by resolving any issues or concerns that arise before, during or after events.
- Maintain accurate event records, including attendance figures, event costs, and client feedback.
- Ensure adherence to company procedures and health & safety legislation.
- Produce comprehensive event documentation and ensure smooth communication across departments.
- Act as the primary point of contact for clients, working alongside their commercial Account Manager to exceed client expectations.
- Maintain clear communication on timelines, priorities, and event requirements, ensuring alignment between internal teams and clients.
- Provide constructive feedback to service providers to elevate the quality of service.
- Share knowledge and collaborate with other event managers to continuously improve service delivery.
- Manage event costs, forecasting, and PO creation to ensure profitability and cost-effectiveness.
- Maximise opportunities for revenue to positively impact financial performance.
- Oversee financial closure of events, including reconciling service orders and assisting the finance team with invoicing.

- Support and collaborate with team members on events, fostering growth and development opportunities.
- Participate in department meetings, proactively contributing ideas to improve service delivery.
- Assist with other department initiatives or venue projects as required.
- Create key event documentation, including pre- and post-show reports, debriefs, and financial reports.
- Strong written and verbal communication skills with the ability to liaise effectively with clients, team members, and contractors.
- Ability to manage multiple tasks, timelines, and event details while remaining proactive.
- Quick-thinking and adaptable, with a focus on resolving issues before they arise.
- Ensure high standards from event setup to execution.
- Lead and motivate staff, contractors, and partners throughout the event cycle.
- Build and maintain positive relationships with clients and suppliers.
- Understand and comply with venue, client, and legal regulations.
- Ability to remain composed and make effective decisions in high-pressure situations.
- Willingness to work flexible hours, including being on-site during key event periods.
- 3+ years of experience in event planning and management within a large-scale venue/events/conference/exhibition setting.
- Proficiency with event management software and Microsoft Office Suite.
- Experience with food & beverage operations, audiovisual equipment, and event production is a plus.
