Executive Assistant to UHNWI - Family Office, Mayfair, London
Seeking an exceptional Executive Assistant who is bilingual in Mandarin and English to provide high-level administrative support to a prominent Ultra High Net-Worth Individual (UHNWI) and their family office. Based in Mayfair, London, this permanent position offers an exciting opportunity for a proactive, highly organised, and discreet individual to assist with a broad range of personal and business matters.
The ideal candidate will possess a keen attention to detail, superior communication skills, and the ability to manage multiple priorities in a fast-paced and dynamic environment. This role requires someone who is resourceful, professional, and able to handle sensitive information with utmost confidentiality.
You will play an integral role in coordinating personal and business affairs for this individual, managing complex schedules, liaising with high-level and VIP contacts, and ensuring the seamless operation of the family office and the principle.
Responsibilities:
- Assist in planning and organising company events, meetings, conferences, and off-site activities.
- Liaise with vendors and suppliers for event and office needs.
- Manage office supplies, ensuring inventory is up-to-date and equipment is functioning properly.
- Coordinate the scheduling and use of company vehicles and drivers for business purposes.
- Ensure that the Principles transportation needs are met, including any special requirements during business trips
- Handle incoming phone calls, inquiries, and requests, directing them to the appropriate team member as needed.
- Maintain an organised filing system for important documents and records.
- Support additional office duties such as ordering supplies, mail handling, and office management as required
Must be bilingual in Mandarin & English
Qualifications and Skills:
- Proven experience as an Executive Assistant, Private PA or in a similar role.
- Exceptional organisational and time management skills.
- Strong interpersonal and communication abilities.
- Proficiency in office software (Microsoft Office Suite, Google Workspace) and scheduling tools.
- Ability to handle confidential information with integrity and discretion.
- Proactive problem-solving skills and the ability to prioritise multiple tasks.
- Ability to work both independently and in a team setting.
Working Hours:
- Full-time position with standard office hours, but flexibility is required for executive support outside regular hours, if necessary.
