The Opportunity
Are you an Executive Assistant, ready to work for an Award-Winning Train Company, entrusted to support two members of their Executive Board?
This is a permanent requirement for a confident administrator, ready to deliver effective, confidential support to an Executive team. As the key contact and liaison for the Directorate, you will use your skillset to make yourself indispensable to this £multimillion Rail industry leader.
The Candidate
- Demonstrable experience as a PA/Executive Assistant at a senior/director level, managing multiple diaries.
- Able to cultivate contacts, establish and maintain internal and external relationships at all levels.
- Exceptional organisational skills, communication skills, and attention to detail
- Must be computer literate including MS Office & Google Suite
- Ability to use own initiative and take ownership of tasks.
- Ability to roll their sleeves up, ‘manage up’ members of the team and hold individuals accountable.
- Have an excellent and positive ‘can do attitude’, be a great team player and supporter.
- Someone that is curious and can use their own judgement in scenarios that require them to act effectively.
- Able to work in a fast paced, busy and pressurised environment providing personalised service.
- Demonstrate a high degree of judgement in working with confidential information and being able to maintain strict confidentiality at all times.
Key Responsibilities:
- Provide comprehensive diary and administrative support to the two members of the Executive team for our client, managing their contacts, meetings, appointments, and commitments.
- Manage email correspondence, requests and enquiries in a timely manner ensuring that priority items requiring personal attention of the Directors are flagged.
- Produce Power Point presentations for Board, Exec and Monthly meetings as well as prepare, produce and collate letters.
- Coordinate internal and ex ternal meetings.
- Coordinate and support the activities of the Executive team as required.
- Prepare expenses, raise purchase orders, invoices and ad hoc payments.
- Organise team events and meetings, managing invitations, event agendas and all other organisational arrangements.
- Act as a point of contact and build cross functional relationships with both internal and external stakeholders.
- Arrange hotel accommodation, external meeting facilities, business travel etc on behalf of the Executive Team and HQ staff.
- Other ad hoc office duties specific to HQ such as booking meeting rooms, procurement of office supplies and arranging post and courier services.
- Organising, attending and minute taking during ad-hoc meetings as required.
- Managing other administrative matters including receiving/preparing documents for signature and approval, both internally and divisionally.
Location: London
Salary:
Up to £40,000 plus
• 25 days Holiday + 8 Statutory
