Job Description: We are seeking a highly organised and proactive Executive Assistant to support our executive team joining a leading housing association who provide quality, affordable housing and excellent customer service to their residents. This role is critical to the smooth running of the Group Executive Team function, so you will undertake several complex administrative duties for and on behalf of the CEO and other Executives, many of which are highly confidential and sensitive in their nature.

Key Responsibilities:

  • Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
  • Prepare and edit correspondence, reports, and presentations.
  • Coordinate and organise meetings, including:
    • Preparing agendas
    • Taking accurate minutes, ready for distribution in short timescales
    • Managing matters arising
  • Handle confidential information with discretion and professionalism.
  • Act as a liaison between executives and internal/external stakeholders.
  • Assist with special projects and initiatives as needed.
  • Manage office supplies and ensure the executive office is well-organized and efficient.
  • Perform other administrative duties as required to support the executive team.
  • Prepare and coordinate report submissions.
  • Acknowledge and manage complaints or queries addressed to the CEO, working closely with relevant operational teams to ensure timely resolution.
  • Ensure issues and queries raised to the CEO by local councillors, MPs, or other stakeholders are proactively managed, providing a professional dialogue and ensuring satisfactory, personal responses.
  • Proactively manage the CEO and CCA’s business diaries, balancing their time between key internal and external events, strategic matters, and visiting teams across the Group.
  • Arrange venues, equipment, catering, accommodation, and travel for various internal and external conferences, meetings, seminars, and exhibitions.
  • Research and gather information to ensure the CEO is well-prepared for all visits and speaking engagements.
  • Work closely with Corporate Affairs, Governance, and other corporate functions to ensure the Executive team functions effectively together and with the Boards and Committees.

Experience:

  • Excellent organisational, planning and administrative skills
  • Minimum of 3 years of experience as an Executive Assistant or in a similar role.
  • Strong communication, stakeholder relationship and interpersonal skills
  • To use your own judgement to escalate and prioritise where appropriate
  • An ability to write clear, accurate and concise reports, take comprehensive minutes and proof reading
  • High level of IT proficiency
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to handle multiple tasks and prioritize effectively.
  • High level of discretion and professionalism.
  • Strong problem-solving skills and attention to detail.
