Role Overview:
An Executive Assistant (EA) will be responsible for providing professional advisory, governance, non-operational resourcing and direct secretarial support for a Chief Officer within a function. Monitoring and managing external interfaces/engagement, specifically political relationships is a key purpose of this role to effectively support the Executive Committee to function efficiently. Job holder will be expected to work collaboratively within the executive office structure and with other executive offices to ensure consistency and continuous improvement of processes to better support the respective office in achieving its business objectives/priorities
Key Information:
- Rate: £344.87 PAYE per day
- Location: Greenwich (Hybrid)
- Start Date: ASAP
- Hours: Full Time, Monday - Friday, 35 hours a week
- Contract Duration: 3-6 months
Key Accountabilities:
- Responsible for pro-actively engaging with other Executive Offices and Centres of Excellence to ensure information is provided in a timely manner when decision making processes are taking place
- Responsible for the management of internal & external relationships to proactively track business priorities/deadlines, including triaging and prioritising key content with key stakeholders
- Accountable for the management of systems for effective handling of work, internally and across directorate areas. This is to ensure the effective application of information/documents/records
- Responsible for the management of personal administration for a respective office area, including Personal Assistants and Administrators where required
- Accountable for correspondence management (including VIP correspondence) on behalf of the Chief Officer/Director office
- Responsible for the assessment of incoming e-mails and telephone calls and answer queries/enquiries directed at the Chief Officer’s/Director’s office, escalating where required.
- Responsible for the organisation of internal and external meetings, including facilitating all travel and accommodation requirements
- Accountable for providing EA support to a Chief Officer Office, including daily workflow and diary management. Also supporting further general administrative duties
- Accountable for the management of internal events & external visits (including but not limited to, staff conferences, all staff meetings, other events)
- Responsible for building and maintaining strong relationships with senior internal stakeholders and wider colleagues to contribute to effective engagement management across the directorate or office
