My client, a Global Data networks innovator, designing end-to-end hyper-scale data network solutions,, is looking for an EA/office manager to be based in their London office.

Key Responsibilities

  • Recording and submitting clearance and all office related invoices to Finance on a weekly basis.
  • European team daily attendance records (including submittal to HR & Payroll).
  • Main point of contact for London solicitors, plus maintain up to date sponsorship documentation of relevant staff for Home Office audit.
  • HR department’s first point of contact for any related matters.
  • Coordinating and arranging for the Travels, Stay etc. bookings for the employees/guests coming to visit the London Office
  • Support staff with appointment setting, calendar management, travel arrangements, and correspondence
  • Process CEO expenses.

What we are looking for in you -

  • Attention to detail in composing, typing and proof-reading material
  • Demonstrates accuracy and thoroughness - monitors own work to ensure quality
  • Ability to analyse and present data in concise, clear and meaningful manner
  • Excellent verbal and written communication skills in the English language.
  • Must be able to perform successfully in a fast-paced, intellectually intense, service-oriented environment.
  • Experience working successfully within a complex matrix structured organization is essential.

Experience

  • Graduate Degree in any discipline
  • 5-9 years of relevant experience in Facilities Management, Executive Assistant and Office Administration in a fast-paced, corporate environment
  • Computer proficiency: Word, Outlook, PowerPoint. Excellent in Excel
  • Fluent English language skills, both written and oral
  • Strong attention to detail & strong service mindset, good business judgment
  • Collaborating effectively in a virtual environment, at same time demonstrating ownership
