- Providing high-quality, confidential business, administrative, and personal assistant support to the COO and Director
- Managing sensitive and complex matters for the COO and Director, problem-solving, taking responsibility, and responding to unexpected demands
- Acting as the first point of contact for all communication, using initiative to manage, prioritise, and draft responses, and redirecting correspondence as needed
- Managing and maintaining a complex electronic diary for the COO and Director, prioritising work schedules according to changing priorities
- Liaising regularly with the COO and Director regarding diary management, addressing concerns and offering solutions for scheduling conflicts
- Organising meetings, booking venues, arranging hospitality, transport, overseas business trips, and accommodation for the COO and Director
- Preparing agendas, circulating documents, taking minutes, and following up on action points for meetings
- Providing high-level support in producing reports, business papers, spreadsheets, presentations, and other documentation
- Building effective communication networks with internal and external stakeholders to support the activities of the COO and Director
- Undertaking financial administration duties, including procurement and expenses, ensuring compliance with financial regulations
- Minimum 2 – 4 years of experience as a Personal or Executive Assistant
- Experience working as an assistant in higher education
- Experience supporting committee work at a senior level
- Excellent IT skills including the Microsoft Office suite
- Excellent organisational and prioritising skills
- Strong interpersonal skills
